Fixabit is a trading name of RSBSE Limited (company number 07875054), registered in England and Wales. Our registered office is Station House, 62 Eastoft Road, Crowle, Scunthorpe, England, DN17 4LR.

RSBSE Limited is the controller of the personal information described in this policy. In this policy, “Fixabit”, “we”, “us” and “our” refer to RSBSE Limited.

1. Information we collect

When you submit a replacement-part request or contact us, we may collect:

• your name and email address;
• the category, make and model of the item;
• your description of the broken or missing part;
• measurements and other technical details you provide;
• photographs and files you upload;
• your preferred fulfilment method;
• correspondence, quotations, order and payment records;
• your confirmation that you have permission to provide the submitted material;
• your optional choice about whether an anonymised design may be added to the Fixabit catalogue; and
• limited technical and security information, such as request timestamps and temporarily hashed network information used to prevent spam and abuse.

Please do not include people, addresses, labels, serial numbers or other personal information in photographs unless it is genuinely needed for us to assess the part.

2. How and why we use your information

We use your information to:

• review your request and decide whether a replacement part may be feasible;
• contact you for more information and provide a quotation;
• design, manufacture, supply or arrange fulfilment of a part where agreed;
• manage orders, payments, delivery, customer support, warranties and disputes;
• protect the website and our systems from spam, fraud and misuse;
• comply with accounting, tax and other legal obligations; and
• where you have expressly agreed, create an anonymised catalogue design that may help other customers.

Our lawful bases are:

• steps at your request before entering a contract, and performance of a contract, when we assess, quote for or fulfil your request;
• legitimate interests, when we operate and secure the service, respond to ordinary enquiries, improve our processes and protect our legal rights, provided those interests are not overridden by your rights;
• legal obligation, when we must retain or disclose records to comply with the law; and
• consent, where we ask for an optional choice, including permission to use a submitted design in an anonymised catalogue. You may withdraw consent at any time by contacting us.

We do not use your personal information for solely automated decisions that produce legal or similarly significant effects.

3. Photographs, designs and catalogue use

Photographs and technical details are used to assess and, where agreed, create the requested part. You should submit only material that you own or have permission to use.

Catalogue permission is optional and is not required for us to assess your request. If you give permission, we will aim to remove personal identifiers before publishing a reusable design. You may withdraw that permission before the material has been anonymised and published by emailing us. Information that has been genuinely anonymised so that nobody can be identified is no longer personal information.

4. Who we share information with

We may share only the information needed with trusted suppliers that help us operate Fixabit, including:

• website hosting, email and IT service providers;
• manufacturers, designers, fulfilment partners and delivery companies where needed to handle your request;
• payment providers if online payments are introduced;
• accountants, insurers, professional advisers and regulators; and
• law-enforcement bodies or other parties where disclosure is required by law or needed to protect legal rights.

These organisations may act as our processors or as independent controllers, depending on the service they provide. We do not sell your personal information.

5. International transfers

Some technology suppliers may process information outside the United Kingdom. Where UK data-protection law requires it, we use an approved transfer mechanism and appropriate safeguards.

6. How long we keep information

We keep information only for as long as reasonably necessary:

• requests that do not proceed are normally retained for up to 12 months after the last contact;
• records connected with quotations, orders, payments, warranties or disputes may normally be retained for up to six years, or longer where the law requires it;
• uploaded photographs are retained with the related request and deleted when that request is deleted, unless they must be kept for an active order, dispute or legal obligation;
• temporary anti-spam and rate-limiting information is normally kept for no longer than necessary to protect the service; and
• consent records are kept while we rely on that consent and for a reasonable period afterwards to demonstrate your choices.

We may keep anonymised information that can no longer identify you.

7. Security

We use reasonable technical and organisational measures designed to protect personal information against loss, misuse, unauthorised access, alteration and disclosure. No internet service is completely secure, so please avoid submitting information that is not needed for your request.

8. Cookies

Fixabit may use cookies or similar storage that are strictly necessary for website security, administration and core functionality. We will not use non-essential analytics, advertising or tracking cookies without providing appropriate information and, where required, obtaining consent. If our use of cookies changes, we will update our cookie information and consent controls.

9. Your rights

Depending on the circumstances, UK data-protection law may give you the right to:

• ask for a copy of your personal information;
• correct inaccurate or incomplete information;
• ask us to delete information;
• restrict how we use information;
• object to processing based on legitimate interests;
• receive certain information in a portable format; and
• withdraw consent at any time where processing relies on consent.

These rights are not absolute and exemptions may apply. To exercise a right, email fixabit@rsbse.co.uk. We may need to verify your identity before acting on a request.

Our website may link to websites operated by other organisations. Their handling of personal information is governed by their own privacy policies, not this one.

11. Changes to this policy

We may update this policy when the Fixabit service, our suppliers or the law changes. The latest version will always be published on this page, with its revision date shown at the top.
